Pre-tenancy assessment

If we haven’t already, we’ll send you a pre-tenancy assessment – this runs through some basic checks before formal referencing takes place.  Once your pre-tenancy has been approved and we have agreed details, such as move in date.   

We will take the property off the market, so no more viewings will take place.  At this stage you will be required to pay a non-refundable referencing fee of £54.00.

Any offer of tenancy will be subject to passing the full reference checks.

References

We will register your details with our impartial referencing company Rentshield who will send you an email containing a link to their website.  All tenants will receive an individual link and will be required to complete the full application.

The referencing process typically takes 5 working days, but can take longer if your referees don’t respond – it’s worth making sure your referees know that Rentshield will be contacting them.

If your references and checks are not able to be completed, or are unsuccessful we will not be able to proceed with your tenancy.

Administration

Once your references and checks are complete we will ask you to pay a non-refundable Administration Fee which covers the costs of your contract, inventory, deposit registration and check-in.

Right-to-Rent Checks

Every landlord must carry out this check before letting a property. We will ask you (and anyone living with you) for proof of identification, which should be a Passport, biometric ID card or Visa and proof of your current address. This is usually in the form of a scanned and emailed copy of your ID.

We’ll need to see the originals at check-in to complete this check.

Paying your deposit

We will ask you for your deposit (usually 1.5 times your monthly rent). Your deposit will be held by us and we will register it with a government-backed deposit scheme. We’ll provide all the information for you to manage your deposit after you move-in.

Utilities

You will be responsible for all of your service providers, now’s a good time to start researching electricity, gas, phone and broadband deals.

Insurance

We pay to insure the building but you will need to insure your own contents and valuables. 

You may want to shop-around for your Contents Insurance, but Sovereign has a partner we've negotiated good rates with - you can take a look HERE.

Rent due-date

Our rental due-date is always the 1st of the month, please note if you move in part-way through a month we’ll need to adjust your first advance rental payment up/down on a pro-rata basis.

We will be happy to provide a breakdown of your anticipated move-in rent and deposit payment on request

Checking your contract

We’ll confirm move-in dates and check-in time. We will send you a draft copy of your contract and documents. These will need to be signed at check-in, so read through them carefully and let us know if you have any questions.

Pets

Most of our rental properties are not suitable for pets. You will need to obtain permission from us if you have a pet are thinking of getting a pet in the furture.

Check-in

The final step is to meet you at your check-in, we’ll bring anything you need to sign (contract, Direct Debit forms etc) and also, the keys to your new home!

Remember, we’ll also need to see the original documents that prove your identification.

Repairs

Once you have moved into your new home.  We have a full team of maintenance operatives who will look after any repairs that are our responsibility. 

We will not be able to enter your home without you being there but booking an appointment is easy.  You will be offered a convenient date and a 4 hour time slot for our operative to arrive.   You will need to be home for the appointment or arrange for someone you trust to meet the operative on the day.
